GENERAL INFORMATION

The Program Committee invites the submission of abstracts for presentation at its meetings. Authors need not be members of the Society in order to qualify for submission. The program will include scientific papers, open forums, original videos, scientific posters, and other electronic media from all specialists who are in some way involved with the use of minimally invasive surgical techniques.

Evaluation will be based on quality, clarity and relevance for our members, as well as the significance of the material, as judged by the Abstract Review Committee. Awards will be given for the best scientific papers, posters, and videos in various categories.

Please note: These requirements apply to all categories of submissions.

All work must be original and unpublished. No materials should be submitted that have been previously presented or previously published.

All persons whose papers are accepted by the Abstract Review Committee for presentation must be paid registrants and be present at the conference. In the event a substitute will take the place of the original presenter, SLS must be notified at least 4 weeks prior to the meeting and a disclosure affidavit must be completed/received for the substitute presenter. Scholarships are available for SLS Member Residents, Fellows-in-Training, Medical Students, and Affiliated Medical Personnel. • Each author is limited to the submission of TWO ABSTRACTS as the primary author and/or presenter.

• An owner, medical director, or employee of a commercial interest, as defined by the ACCME, may not serve as an author and/or presenter during an accredited CME session. The ACCME defines a commercial interest as “any entity producing, marketing, re-selling, or distributing health care goods or services consumed by, or used on, patients.” Those with a commercial interest as defined by the ACCME may be considered for participation in an Open Forum Non-CME session.

• According to ACCME & SLS Guidelines and Resolution of Conflict of Interest Policies, educational materials that are part of a CME activity, such as slides, abstracts and handouts, cannot contain any advertising, corporate logo, trade name or a product-group message of an ACCME-defined commercial interest.

 Any copyrighted material must be accompanied by a release authorizing duplication and display for educational purposes at meetings of the Society of Laparoendoscopic Surgeons. Any identifiable individuals in videos must have signed releases permitting medical videography. Please provide assurance that releases are available, if relevant.

Your submission may not be reviewed or considered in the event that:

· it does not meet the guidelines, or

 · an online Abstract Submission Form is not completed, or

 · abstract text is not provided electronically on the Abstract Submission Form, or

· poster submissions do not provide a PowerPoint slide of their poster on the Abstract Submission Form, or

· video submissions do not include a link to the video on the Abstract Submission Form, or

· is commercial in nature, or

· the disclosure affidavit for the author/presenter is not completed and signed

PUBLICATION OF YOUR SUBMISSION

Scientific Paper, Video, and Poster abstracts will be published online. Open Forum abstracts will not be published.

Complete manuscripts for abstracts that have been accepted for presentation may be submitted for review for publication of the full study in JSLS, Journal of the Society of Laparoendoscopic Surgeons. To have your complete manuscript considered for publication, please submit the manuscript to JSLS according to the “JSLS Guidelines for Authors“. Publication of complete manuscripts is the responsibility of the author and not SLS.

TYPES OF SUBMISSIONS

Scientific Paper (oral presentations)

10 minutes for presentation plus 5 minutes for discussion. This is a category for clinical retrospective or prospective studies, a clinical series, or experimental studies with clinical results of a non-commercial nature.

Scientific Paper submissions may be accepted either as an oral presentation, an Open Forum presentation, or as a Scientific Poster, as determined by the Abstract Review Committee.

Open Forum (non-CME oral presentations)

5 minutes for presentation. This category is appropriate for case studies, or a small series without statistics, with emphasis on new techniques and innovative procedures of a non-commercial nature.

Original Video (video presentations) 

No longer than 8 minutes in length plus 5 minutes for discussion. Please see details for formatting located below. Videos selected will be shown in a group situation. Subject matter is restricted to new materials that offer insights into relevant ideas and techniques in minimally invasive surgical and diagnostic procedures, all of a non-commercial nature.  Please note that, based on content and peer reviewer evaluation, submitted videos may be accepted as Open Forum videos (non-CME video presentation).

Scientific Poster (poster display)

The purpose of these scientific displays is to provide summaries of findings of a non-commercial nature.

Posters MUST be submitted using the SLS e-Poster Template in PowerPoint. You may be asked to edit and resubmit your poster based on SLS’s review of the poster’s content.

Poster presenters are responsible for creating, printing, and bringing their posters to the conference. Guidelines, required format, and dimensions can be found in the Submission Instructions section of this document.

NEW THIS YEAR: The poster submissions with the highest peer-review ratings will be invited to give a 2-minute oral presentation about their poster in the Best Posters Showcase on Thursday, August 30th. Invitations will be forwarded via email in July.

NEW THIS YEAR: A $250 prize will be awarded for the poster and associated presentation judged to be the overall Best Poster. A $100 prize will be awarded to the poster and associated presentation judged to be the Best Poster by a Resident.

 

ABSTRACT CONTENT

Abstract must be 250 words or less. The title should be short and succinct; the body of the abstract should follow logically from the title.  Abstracts should contain four sections:

  1. OBJECTIVE: An introduction, stating the hypothesis, purpose, or specific objective of the study.
  2. METHODS & PROCEDURES: A description of the study design, the subjects and the evaluation procedures used. Documentation of statistical methodology should be included in this section.
  3. RESULTS: A summary of the results of the study, which should support the final conclusion of the paper, and these must be stated in the abstract. Please do not include qualitative statements such as “supporting evidence will be provided at presentation,” etc. Results should include actual data.
  4. CONCLUSION: A brief statement of the conclusions of the study. Any data provided must either support, confirm, modify, or refute the purpose of the objectives of the particular study.

Abstracts that do not comply with the required format will be returned for editing.

Please note: abstracts will not be edited for language, grammar, spelling, readability, punctuation, etc. prior to being sent for peer review. Be sure to review your text before submitting.

Authors whose primary language is not English should have their papers checked for linguistic accuracy by a person skilled in the English language and in medical terminology.

SUBMISSION INSTRUCTIONS

No more than two submissions as a first author/presenter will be accepted.

Registration for Minimally Invasive Surgery Week will open approximately 6 months prior to the conference. If your materials are accepted for presentation, your conference fees must be paid by the early bird registration deadline of June 29, 2018 in order to be included in the final schedule listing.

Abstracts that are not submitted in compliance with these instructions, are not in the requested format, or are not received prior to the deadline date may not be considered for evaluation. If you have any questions or difficulties with your submission, please contact the SLS office via Abstracts@SLS.org.

ALL TYPES OF SUBMISSIONS

(Note: Poster presenters must also follow the Scientific Poster Submission Instructions; Video presenters must also follow the Video Submission Instructions)

An online Abstract Submission Form and Disclosure Affidavit must be completed for each Abstract submitted. No more than two submissions as a first author/presenter will be accepted.

Abstract text (250 words or less) must be entered in the area provided on the online Abstract Submission Form.

  The author submitting the form will be considered the presenter unless otherwise noted.

 All text should use upper and lower case letters, including the title. DO NOT type in all upper case or all lower case letters.

Do not use abbreviations in the title or body of the abstract.

Abstract text that does not comply with the required format will be returned for editing.


SCIENTIFIC POSTER SUBMISSION

• In addition to submitting the plain text of your abstract according to the Submission Instructions for all types of submissions (above), poster presenters must also submit the SLS e-Poster Template in PowerPoint. Posters may be returned to the author for editing based on the content review.

• Complete each section of the template (4 slides). Instructions are included on the template. Do not change the size/parameters of the template. Name the file with Your Last Name, Your First Name (ex: Smith, John.pptx)

• Poster slides that do not comply with the required formatting will be returned for editing.

• Attach the file to the online Abstract Submission Form.

• Abstracts must still adhere to the 250 words or less guidelines.

Authors whose primary language is not English should have their posters checked for linguistic accuracy by a person skilled in the English language and medical terminology.

Poster presenters are required to print and bring their posters to the conference. Posters are to be printed in the following format: 2 ft wide (24 inches / 61cm) by 4 ft high (48 inches / 122 cm). The (4) slides accepted for presentation are to be merged into one poster. Please see graphic below detailing layout.

• Posters should be printed on a material that can be hung with push-pins.

• Once onsite, presenter will hang their poster in their designated spot in the Poster Gallery. Details on where and when presenter should hang their poster will be included in their email schedule notification.

VIDEO SUBMISSION

In addition to submitting the text of your abstract according to the Submission Instructions, you must upload your video to our channel on YouTube.

All productions must:

be no longer than 8 minutes

file size no larger than 2GB

include titles and a spoken narrative explaining the objectives of the procedure and the methods used during the procedure.

conclude with the results or purpose of the procedure.

be in preferred format of MPEG or QuickTime (wmv, avi, and mov files are acceptable)

recommended resolution: 1280 x 720 (16 x 9 HD) and 640 x 480 (4:3 SD); frame rate of 24 fps or higher

mp3 audio recommended

videos that do not comply with the format requirements will be returned for editing

Commercial advertising or promotion of products will not be accepted.

 NO COMMERCIAL VIDEOS, CDS, SOFTWARE, OR OTHER ELECTRONIC MEDIA WILL BE ACCEPTED FOR EVALUATION.

Unless we have written notification otherwise, your video will be retained for use at SLS conferences, including internet and other media for educational purposes.

SLS reserves the right to use submitted materials for educational purposes.
